Depending on your event activities and sponsoring organization(s), certificates of insurance may be required for your event.
A certificate of insurance provides proof that an event client, temporary vendor, exhibitor or event service provider has purchased an insurance policy and that The Regents of the University of California have certain rights under that policy. The Certificate of Insurance (COI) verifies that the indemnification and UCI insurance requirements outlined in SCES’ Confirmation Estimate Terms & Conditions have been met.
Events With Minors
Most programs (in-person and virtual) with minors in attendance will also be required to provide sexual molestation and abuse insurance.
Third-Party Entities
All vendors approved to sell on campus, event service providers, exhibitors, performers, and groups or persons conducting tasks at the event not affiliated with the University, regardless of the event sponsor, are required to provide insurance (even if the services are provided to Client free of cost). Examples include but are not limited to florists, DJs, photographers, videographers, equipment rentals, balloon vendors, transportation companies, supervision of minors, etc. Exhibitors bringing more than just informational flyers and materials are required to provide insurance in accordance with campus vendor policies. Please note that additional types (e.g., professional liability insurance) and higher amounts of insurance coverage (e.g., $2 million per occurrence, $3 million aggregate for the minimum commercial liability policy coverage for a commercial film shoot) may be required for higher risk activities. This insurance should be obtained by the event client(s) and provided to SCES at least fifteen (15) days prior to the event start date.
Minimum UC Insurance Coverage Requirements
The University requires a minimum of $1,000,000.00 per occurrence and $2,000,000.00 aggregate for commercial general liability and property damage covering activities for general use of University properties. The University shall be furnished with a Certificate of Insurance naming The Regents of the University of California as 1) an additional insured and 2) a certificate holder. Additional insurance coverage or documentation may be required by the University based on the scope of the sponsor vendor’s activities. The insurance must be valid for the duration of the client’s and their service providers’ load-in, event date(s), and load-out.

- Performers
An entity participating in an event might be required to provide different types of insurance coverage with different levels of coverage, including but not limited to:
- Commercial / General
- Automobile
- Sexual molestation and abuse coverage
- Professional liability
