Staffing Shortage and Service Impacts

Lower-than-normal staffing levels cannot keep pace with traditional levels of service the UCI community prides itself on and deserves. We hope this situation is temporary and ask for your understanding. Please accept our sincerest apology as we do all we can to resolve current staffing challenges. UCI student organizations (RCOs) and UCI departments are our first and highest priority at this time.

The temporary service adjustments are intended for event inquiries submitted on or after Monday, Jan. 9, 2023, for events occurring in winter and spring 2023 only. These adjustments are not intended for events submitted prior to Jan. 9, 2023. We are unable to predict future staffing levels and ask for your patience and understanding as we do everything possible to ensure your event needs are fully met.

Temporary Service Adjustments Information

In-Person Event Inquiries

The following requests cannot be processed at this time:

  • Off-campus and RCO co-sponsored filming and photography
  • Off-campus use of indoor venues
  • Off-campus use of outdoor venues for special events

Student Center is continuing to process event inquiries for:

  • RCO meetings and special events
  • UCI student sponsored film/photography shoots for a course-coded class project
  • UCI department sponsored meetings, events, and filming/photography shoots
  • Off-campus sponsored information tabling outdoors

Adjusted Services

Due to staffing shortages in several Student Center areas, the following temporary service adjustments are in place for all new event inquiries and reservations.


Non-Residential Events*

  • Student Center setup options include standard defaults and any of the predetermined, pre-diagrammed layouts. Customized room setups remain available for the Pacific Ballrooms only.
  • Non-SCES services typically arranged through the Student Center will need to be booked directly with the service provider until further notice

*Events that will not be using summer residential housing and are not part of the summer conferences program available late June – end of August each summer.


Custom Setup and Room Layouts

  • Custom setups will continue to be an option for Pacific Ballroom events
  • Other rooms will be limited to default setup options that are the most requested arrangements, which include theater, classroom, rectangular banquet, and round banquet layouts

General Onsite Event Support

  • Guests may experience delays in change requests and support calls made via the VIP Service Line. Dedicated staffing for events made during the booking process may be limited or become unavailable.
  • Event needs that affect staffing should be scheduled early but does not guarantee availability
  • Talk to a Senior Meeting & Event Planner for details. We hope that the current staffing situation is temporary and will do all we can to ensure the best possible outcome for your event.

A/V and Technical Support

  • Availability of dedicated technical support may be limited
  • Live streaming and videography services are available. Ask your planner for details. (UC insurance requirements and arrangements for off-campus, event-service providers apply)

Last-Minute Requests

Last-minute event requests (or event changes that significantly impact staffing or staff schedules) cannot be accommodated with less than 11 days’ notice. Please see Event Lead Times.


Large Outdoor Events

  • Our team will continue to book and manage as many large outdoor events per day as possible based on staffing and available resources. Smaller outdoor events will not be affected.
  • Large events are defined as those using more than one plaza, more than one Ring Mall area (not spaces), or more than one section of Aldrich Park.

Do the temporary service adjustments impact my event if my event inquiry was submitted before the service adjustments were implemented and is already contracted?

The temporary service adjustments are intended for event inquiries submitted on or after Monday, Jan. 9, 2023, for events occurring in winter and spring 2023 only. These adjustments are not intended for events submitted prior to Jan. 9, 2023. We are unable to predict future staffing levels and ask for your patience and understanding as we do everything possible to ensure your event needs are fully met.

Why is the Student Center not accepting off-campus event inquiries (except for outdoor Ring Mall tabling)?

With lower-than-normal staffing levels, our first and highest priority must be event needs for UCI RCOs and campus departments. Our commitment to serving the broader community remains an enduring tradition.

Why is the Student Center limiting options for room setups in winter 2023 and spring 2023?

Custom setups take a considerable amount of time for event planning staff to create, edit, and go through approval processes. By limiting the setup options to predetermined setups, this allows us the opportunity to conserve time to manage more events and provide event services to more clients. Setup options include the most commonly requested arrangements, which include theater, classroom, rectangular banquet, and round banquet layouts. Your planner can share these options with you.

What services for an event need to temporarily be booked directly with a non-Student-Center service provider?

Classroom Technologies (CT) special orders, Community Service Officers (CSOs) for equipment watches, and off-campus event service provider orders (including, but not limited to, balloons, flowers, specialty A/V equipment). Please note that SCES will continue to assist with equipment rentals from Signature Party Rentals, an off-campus service provider.
